Guidelines for Presentations and other events at TC44

Authors of successful submissions have been informed that their submissions have been accepted for either a full length or short presentation.

Most but not all submissions accepted for “Short presentations” were submitted as “Posters”. There will be no physical posters at TC44 (as there have not been for the past either TC conferences). Accepted poster paper authors are asked, instead to make short presentations of their research, usually in conference rooms smaller than the plenary. At TC44 all short (and full length) presentations will take place in relatively large conference rooms. All regular submissions and Posters are obliged to submit a paper for publication in the Proceedings of TC44; for submissions entered via the User Track papers are optional. Moderators of Workshops and Panels may also submit an optional paper, after the conference, outlining the results of their event. The lengths of “poster” papers is 2000 words; for all other papers it is 5000 words. For details on papers for publication in the Proceedings see Final Submission Guidelines.

Technical Data:

Plenary Room 2 is circular. It seats 148 persons, and will be used as the conference plenary for the opening, keynote and closing sessions, as well as for 19 presentations. It has 3 screens round the room, between interpreters’ booths. It is located at the ECCL on Level 0 (zero).

Room E is in a hollow square format. It seats 122 persons, and will be used for all four non-commercial Workshops and both Panels, as well as for 9 presentations. It has 2 screens on 2 of the 4 sides of the room. It is located at the ECCL on Level 1.

Room B is in a hollow square format. It seats 101 persons, and will be used for all of our Sponsors’ Workshops. It has 3 screens, 2 on one of the longer walls and a 3rd behind the speaker (on one of the narrow sides of the room. It is located at the ECCL on Level 0 (zero), adjacent to Plenary room 2.

The standard resolution is: 1920 x 1080, with screen layout of 16:9 (Wide-screen).

Due to the room layouts and the screen sizes presenters are asked to make sure that any text on their presentations is 24 pts font size or larger. Smaller texts will be very hard to read for most of the audience and lead to less than satisfactory viewing experiences for participants.

A full length presentation has a 30 minute time slot.

Of this presenters should limit their talk to about 20 minutes. A 10 minute Question and Answer (Q&A) period of interaction with conference participants will follow. Speakers will be informed of “5 minutes left” at 15 minutes, of “3 minutes left” at 17 minutes, and “1 minute left” at 19 minutes. If they choose, they may continue for another 2-3 minutes, for a total of 22-23 minutes. Thereafter Q&A must begin, to allow minimum interactivity with the audience.

A short presentation has a 15 minute time slot.

Of this presenters should limit their talk for 5-8 minutes. The remaining 7-10 minutes should be for a Question and Answer (Q&A) period, in which the presenter(s) answer questions from conference participants. Speakers will be informed of “about 2 minutes left” at 4 minutes, and “1 minute left” at 7 minutes. Thereafter Q&A must begin, to allow minimum interactivity with the audience.

Keynote addresses have 60 minute time slots.

Keynote speakers are asked to hold their talk to about 50 minutes to allow 10 minutes for Q&A.

Workshops have a 60 minute time slot

Workshop moderators are encouraged to make their workshops as interactive as possible. Members of the audience should be permitted to ask questions and make short points throughout workshops. Depending in part on the nature of each workshop moderators are encouraged to allow at least the final 5-10 minutes for general questions from the audience participants in their workshops.

Discussion Panels have a 90 minute time slot

By definition these panels have both a moderator and panellists interacting with each other. Nevertheless moderators are encouraged to ask for interaction (short questions or remarks) from the audience, and may allow for a 5-10 minute Q&A session between audience and panellists prior to the final wrap-up by the panel members.
